Job Purpose

The Receptionist / Front Desk Executive will be responsible for managing the front desk operations, ensuring a professional and welcoming experience for visitors, employees, and external stakeholders. The role requires excellent communication skills, strong organisational abilities, and a customer-focused approach to efficiently manage visitor handling, telephone communication, administrative support, and workplace coordination.

Education & Experience

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum 2–3 years of relevant experience in reception, front desk, administration, or customer service roles.

Skills & Competencies

  • Excellent verbal and written communication skills in English and Urdu.
  • Pleasant, professional personality with a customer-focused and problem-solving attitude.
  • Proficiency in MS Office (Word, Excel, Outlook) and general computer literacy.
  • Familiarity with IP telephony systems (e.g., 3CX) and multi-line phone handling is preferred.
  • Strong organisational and multitasking skills with attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Active listening skills and the ability to remain calm and courteous under pressure.

Key Responsibilities

Reception & Visitor Management

  • Welcome visitors professionally, guide them to relevant departments, and maintain visitor records/cards.
  • Coordinate with HR/Admin teams for visitors, interviews, and official appointments.
  • Maintain reception area cleanliness, required supplies, and first-aid availability.
  • Handle visitor inquiries and report suspicious activities or sensitive visits to management/HR.

Telephone & Communication Management

  • Answer and transfer calls professionally to the appropriate departments and CX helplines.
  • Ensure phone systems, internet connectivity, and communication tools are operational and report issues promptly.
  • Arrange callbacks, conference calls, and provide support to employees regarding phone system usage.
  • Maintain updated contact directories and ensure important messages are delivered accurately.

Mail, Courier & Records Management

  • Receive, sort, distribute, and maintain records of couriers, parcels, and official documents.
  • Maintain records of CVs, invitations, correspondence, and related documentation.
  • Ensure confidentiality of official mobile numbers, contact details, and sensitive information.

Administrative & Clerical Support

  • Manage meeting room bookings and support meeting arrangements.
  • Perform clerical duties including data entry, typing, documentation, and record maintenance.
  • Support HR activities for new employees and maintain stationery inventory records.

Monitoring & Reporting

  • Monitor official vehicle activities and prepare daily reports.
  • Support monitoring of staff schedules, CCTV-related tasks, and workplace cleanliness.
  • Escalate issues related to calls, visitors, facilities, or operational matters to relevant stakeholders.
