Job Summary:

The Community Relations Officer serves as the primary face and voice of the organization. This dual-functioning role bridges exceptional visitor hospitality with robust administrative, data, and financial record-keeping. The ideal candidate will seamlessly manage applicant intake, update digital portals, handle basic outdoor financial errands, and provide data entry support across multiple departments.

Key Responsibilities & Duties:


Front Desk & Visitor Management

 
  • Welcoming and assisting visitors, guests, and applicants in a highly professional and courteous manner.
  • Providing accurate information and guidance to visitors regarding organizational processes and application requirements.
  • Maintaining the Visitor Log and updating real-time visitor records on the Citizen Society Portal.

Application Processing & Record-Keeping
 
  • Preparing applications, forms, and official documents accurately as necessary.
  • Conducting thorough reviews to ensure all required information, supporting data, and essential documentation are completely gathered from the applicant at the intake stage or before proceeding for approval.
  • Escalating files to management to present applicant details and officially obtain management's final decision regarding their facilitation.
  • Ensuring time-bound application closure by finalizing and archiving applications (whether approved or rejected by management) strictly within the time frame mandated by organizational policy.
  • Tracking application lifecycles by keeping precise, up-to-date records of both approved and rejected applications.
  • Organizing and maintaining historical physical and digital records to ensure seamless retrieval.
  • Implementing a systematic archiving system specifically for scanned vouchers and financial documents.

Financial Coordination & Outdoor Errands
 
  • Maintaining precise records against Requisitions, Journal Vouchers (JVs), and bank vouchers.
  • Coordinating closely with the accounts staff to ensure the accuracy and completeness of financial records and cheques.
  • Executing bank visits for secure cash deposits and withdrawals as required by management.
  • Visiting external vendors for bill collections, quotation, or check disbursements.
  • Carrying out miscellaneous outdoor tasks and duties on behalf of the organization.

Cross-Departmental & Team Support
  • Serving as an on-demand backup for data entry officers at the dispensary, academy or dialysis center.
  • Ensuring timely and precise data entry of all organizational records, documents, and logs into the main database.
  • Supporting the social mobilization team with administrative tasks as and when required.
  • Fulfilling any other tasks assigned by the Administrator or senior management.


Job Specifications & Requirements
  • Education: Bachelor’s degree in Business Administration, Commerce, IT, or a related field.
  • Experience: At least 1 year of experience in front desk management, customer service, or data entry (experience with community portals is a strong plus).
  • Technical Skills: Proficiency in Microsoft Office (Word, Excel), data entry accuracy, and comfort learning specialized database portals like the Citizen Society Portal.
  • Interpersonal Skills: Excellent verbal communication, a welcoming demeanour, strong organizational skills, and a high level of integrity for handling cash/financial tokens.
  • Mobility: Willingness and ability to travel locally for outdoor tasks.
